AI Assistants Terms of Use

These terms cover the internal-use AI assistants and chatbots operated by SmartBrain Services — both our own internal tools and the ones we host for the internal use of our clients' teams.

They do not cover public-facing AI assistants or chatbots that our clients launch to their own customers through our infrastructure. Each of those has its own terms, published by that client.

These assistants are internal operational support tools built on artificial intelligence. They are designed to speed up internal tasks (lookups, reports, basic automation) — they do not replace human judgment for critical, legal, financial, or safety-related decisions.

Access is limited to authorized personnel of SmartBrain Services or the corresponding client, who agree to:

• Use the assistant only for legitimate internal work purposes.
• Not enter sensitive personal data belonging to end customers unless strictly necessary and authorized.
• Not attempt to circumvent access restrictions or misuse the tool to harm SmartBrain Services or third parties.

Responses generated by these assistants may contain errors or inaccuracies ("hallucinations"). They do not constitute professional, legal, financial, or medical advice. Any information used for a relevant decision must be verified by a human before acting on it.

We do not guarantee uninterrupted 24/7 availability. The service may experience downtime for maintenance, updates, or issues attributable to third-party infrastructure or AI-model providers.

Data handling for these assistants is governed by our AI Assistants Privacy Policy.

The underlying software, prompts, and configuration of these assistants are the property of SmartBrain Services. Content generated for a client's internal use may be used freely by that client for its own internal purposes.

We may suspend access for any user who violates these terms, without prior notice, to protect the security and integrity of the service.

SmartBrain Services is not liable for decisions made based on the assistant's responses without prior human verification, nor for indirect or consequential damages arising from use of the assistant.

We may update these terms occasionally. When we do, we'll update the "last updated" date at the top of this page.
