A real case: how we connected WhatsApp, artificial intelligence, and Notion so a client can log and check his personal finances by chat, without losing full control over his data.
Eng. Carlos Posada, based in El Salvador, already kept his personal finances neatly organized in Notion, but logging every expense, income, or transfer by hand took time, and checking his account status meant opening the app and searching through tables. He came to us with a clear goal: keep Notion as his usual database, but remove the friction of daily data entry. The challenge: simplicity for the user, real control behind it
The starting point wasn't to build "yet another finance app" — plenty of those already exist. The real challenge was different: let Carlos keep writing as if he were talking to a person ("I paid $25 for gas with my credit card," or a voice note saying the same thing), and have something reliable happen behind that message — not an AI "guessing" figures, but a system that validates every piece of data before it touches his real account information.
How the Personal Finance Assistant works
The solution connects WhatsApp Business Cloud API as the conversation channel, our own automation engine to orchestrate the whole flow, artificial intelligence to interpret natural language (text or voice notes), and Notion as the single source of truth — the same one Carlos was already using. The artificial intelligence handles understanding what the user means; the programmed logic — not the AI — validates data, calculates balances, and decides what actually gets written.
- Log expenses, income, and transfers by text or voice note, even several movements in a single message.
- Check balances, totals by category or account, the most-used card, or compare one year against another.
- Edit or delete an already-logged movement, identified by date, amount, or description.
- Confirm every sensitive operation before executing it, first showing a summary of what will be saved or changed.
What makes it reliable, not just convenient
The least flashy part is the one that matters most: before saving or modifying any movement, the assistant shows a summary and waits for explicit confirmation, checked against that pending state — the system never simply relies on the AI "saying" the user already confirmed. Fixed business rules (an expense always subtracts from the source account, a transfer never counts as an expense, a nonexistent account or category makes the assistant ask instead of guessing) keep the numbers consistent with what already existed in Notion, with no manual reconciliation needed.
The result
Today, Eng. Carlos Posada logs and checks his personal finances the same way he writes any WhatsApp message — no separate app to open, no remembering which table to update. Notion still owns the information, just as before; the only thing that changed is how much effort it takes to keep it up to date.
